Whitetulip Health Foundation (WHF) (whitetulip.org) is a Fairfield, NJ based 501(c)(3) nonprofit organization that connects healthcare professionals who want to give back to society. Our aim is to create a platform where they can share ideas and experiences, provide mutual support and collaborate, and channel their own personal passions and skills into community projects both locally and abroad.

1. Data We Collect

Data Storage

WHF is based in the United States and relies on a combination of cloud infrastructure and third-party platforms to operate its website and programs. This includes cloud hosting providers such as Amazon Web Services (AWS), Microsoft-owned platforms such as SharePoint and Microsoft Teams for internal record-keeping, and customer relationship management (CRM) and email platforms such as ActiveCampaign and Mailchimp for donor, member, and volunteer communications.

Each of these providers maintains its own privacy policy governing how it processes data on our behalf. We encourage you to review the referenced third-party policies in the External Services section below.

Membership & Platform Data

Some WHF programs (such as our members platform at platform.whitetulip.org) require an account. If you register there, we or our platform provider store your username, email address, and any additional information you add to your profile. You can review, edit, or request deletion of this information at any time by contacting us.

Program Applications

Our mentorship, scholarship, internship, and volunteer programs are administered through online application forms (see the Forms section below). Depending on the program, these forms may ask for information such as your name, contact details, immigration or legal residency status, educational background, and professional experience. This information is collected only to determine program eligibility and to administer the program, and is shared only with the WHF department responsible for that program.

We are especially mindful that some of our programs, such as the High School Student Zone, are designed for students who may be minors. We do not knowingly collect more personal information from minors than is reasonably necessary to administer the relevant program, and we encourage parents or guardians to review this policy with their student before applying.

Contact Form

Information submitted through the contact form on our site is sent to our organizational email accounts. These submissions are shared only with the appropriate department and are retained only for customer service and record-keeping purposes. They are never used for marketing purposes or sold or shared with third parties.

Donations

We accept online donations through Zeffy, and offer direct bank transfer donations through Zelle. When you donate online, your payment information is processed directly by Zeffy — WHF does not store your full payment card details. Please refer to Zeffy's own privacy policy for details on how it handles payment data.

Media

If you upload images to our website or submit them as part of a program application, please avoid including images with embedded location data (EXIF GPS), as this data may be technically extractable from the file.

2. How We Use Your Information

We use the personal information we collect to:

  • Verify your identity and process your requests, applications, or donations;
  • Administer our mentorship, scholarship, internship, volunteer, and membership programs;
  • Provide customer and technical support;
  • Send you information about your application, membership, or donation, including confirmations and receipts;
  • Send updates about news, programs, or events you have opted in to hear about;
  • Monitor and improve the security and performance of our website and services;
  • Comply with our legal and financial record-keeping obligations as a nonprofit organization.

3. Embedded Content & Third-Party Services

Some pages on our site include embedded content, such as YouTube videos. Embedded content behaves in the same way as if you had visited that third-party site directly — it may set its own cookies, collect data about your interaction, and is governed by that provider's own privacy policy rather than ours.

Our site also links out to our social media profiles (Facebook, Instagram, X, LinkedIn, YouTube). These are plain outbound links displayed as icons — clicking one takes you to that platform's own website. We do not embed live social media feeds on our site, and no data is sent to these platforms unless you actively click through to them.

4. Cookies

Our website uses a minimal number of cookies. Specifically:

  • A functional cookie that remembers your preferred language (English or Turkish) so you are not repeatedly redirected based on your browser settings. This cookie contains no personal information and expires after one year.
  • If we use an analytics service such as Google Analytics, it may set cookies to help us understand aggregate site usage. These cookies do not identify you personally. You can opt out of Google Analytics tracking using the opt-out tool linked in the External Services section below.

You can disable cookies at any time through your browser settings. Disabling cookies may affect some site functionality, such as remembering your language preference.

5. Who Has Access to Your Data

If you have not submitted any information to us (for example, you are simply browsing our website), we do not hold any personal information about you beyond standard, non-identifying web traffic logs.

If you have submitted information to us — for example, through a program application, donation, or the contact form — it may be accessed by:

  • WHF system administrators, for the purpose of operating our website and systems;
  • WHF volunteers or staff who need the information to provide support to you;
  • The specific WHF department responsible for the program you applied to (for example, if you apply to a mentorship program, your information is shared with the Mentorship Department).

6. Third-Party Sharing

We do not sell your personal information, and we do not share it with third parties for their own marketing purposes.

We do share information with the service providers described in this policy (such as our hosting, CRM, email, forms, and payment providers) to the extent necessary for them to provide their services to us. These providers are only permitted to use your information to deliver services on our behalf.

7. How Long We Retain Your Data

We retain information related to program applications, memberships, and donations for as long as necessary to administer the relevant program or membership, and afterward as required by our financial and legal record-keeping obligations as a nonprofit organization.

If you have a registered account on our members platform, we retain your profile information for as long as your account remains active. You may request that your information be deleted at any time by contacting us at membership@whitetulip.org — please note that if you have an active membership, deletion of your account information will also end that membership.

8. Security Measures

Our website uses HTTPS/SSL encryption throughout to protect data transmitted between your browser and our servers.

In the event of a data breach affecting your personal information, we will take immediate steps to secure our systems, will notify affected individuals as required by applicable law, and will assist with password resets or other remediation where relevant.

9. Your Data Rights

If you have submitted personal information to us, you may request a copy of the personal data we hold about you, or request that we correct or delete it. To make a request, please contact us using the details below.

We will honor deletion requests except where we are required to retain certain information for legal, financial, or administrative reasons (for example, records required for nonprofit tax compliance). If all of your data is deleted, we may no longer be able to provide certain services to you, such as an active membership or program participation.

10. Third-Party Websites

Our website may contain links to third-party websites. These third-party websites are not reviewed or controlled by WHF for their privacy or security practices, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policy of any third-party website you visit through a link on our site.

11. Legal Disclosure

We may disclose your information where we believe in good faith that doing so is required or appropriate to comply with a legal obligation, such as a subpoena, court order, or request from a government authority, or to protect the rights, property, or safety of WHF, our community, or the public. Any disclosure for legal purposes will be made in compliance with the laws of the jurisdiction in which you reside.
